First Work is looking for one (1) individual to take on the role of the Project Administrator. The individual will play a key role in supporting First Work’s multiple initiatives across Ontario and advocate for the organization and organization’s purpose. The position will be remote. This role may involve in-person meetings in the future, which travel and accommodations will be expensed and reimbursed.
Key Responsibilities:
- Assist the Project Manager in administrative duties and processes
- Alert the project manager to issues as they arise
- Schedule regular meetings and record minutes
- Prepare and provide documentation to internal teams and key stakeholder
- Break projects into doable tasks and set timeframes and goals
- Create and update workflows
- Assist with planning, from start to finish of project
- Prepare and distribute project materials
- Monitor and report project progress and potential issues to the Project Manager
- Retrieve necessary information (e.g. user/client requirements and relevant case studies)
- Act as point of contact for project team and facilitate communications
- Act as the point of contact for all participants
- Collaborate on stakeholder presentations
- Foster positive relationship with stakeholders
- Conduct risk analyses
- Ad hoc tasks as assigned

- Strategic – passionate about sharing and developing new opportunities from an analytical, problem definition and solution lens
- Critical Thinker – proven superior analytical and problem-solving skills
- Communicator – Interpersonal storyteller whom can communicate tactfully and professionally and is comfortable working with small and large groups virtually. Demonstrated abilities in communications, marketing and French is an asset.
- Relationship/Team Builder – flexible collaborator with internal and external stakeholders
- Adaptable - comfortable working in an ambiguous environment with competing deadlines and rapidly evolving needs and conditions
We want to hear from you if you have:
- Undergraduate degree, preferably in economics, business, or another relevant field
- Minimum of 2 years in program administration and/or coordination
- Experience with building and executing outreach strategies and campaigns
- Experience or knowledge of charities/not-for-profits, community resources, the employment sector in Ontario or Canada is considered an asset
- Experience working with assistive technology and/or accessible environments is considered an asset
- Software proficiency is an asset in Microsoft Office 365, Salesforce (CRM) and project management tools.
